Projectworks Pricing (2026): Plans, Minimums and Costs for 10 to 50 Staff

Projectworks pricing is per user per month across three plans: Build, Scale and Unleash. Australian quotes run $39, $47 and $55 AUD per user, with a 10-user minimum, extra users billed in bands of five, and onboarding from $1,000.

That is the short answer to “how much does Projectworks cost?”. Projectworks deserves credit here: unlike most of its competitors, it publishes its prices. The details that change your bill, such as the minimum, the bands and which plan you actually need, sit in the footnotes.

This guide walks through each plan, what a 10, 25 and 50 person firm can expect to pay, and how that compares with Drum. For firms that need CRM, proposals and project delivery together, compare Projectworks Unleash with Drum Complete. Their features differ, so check advanced requirements separately. Full disclosure: we build Drum, a competing platform for Australian architecture and engineering firms. Where Projectworks comes out ahead, we’ll say so.

How Projectworks Pricing Works

Projectworks is a New Zealand-built platform for consultancies, and its plans step up by feature rather than by usage.

Build covers time and expense tracking, resourcing, invoicing, revenue forecasting, reporting, leave management and Xero and QuickBooks integrations. It’s the core of the product.

Scale adds quotes, Jira, Azure DevOps and HubSpot integrations, HR and payroll links, calendar integrations, multi-office and multi-currency support, single sign-on, and five custom fields and reports.

Unleash adds multi-entity, purchase orders, revenue recognition, API access and unlimited custom fields and reports. Its consulting CRM and proposals features are listed as beta. Projectworks marks Unleash as its most popular plan.

Enterprise is custom priced and adds ongoing services and custom-built integrations and reports.

Choose the right currency. With AUD and monthly billing selected, the pricing page shows $39 for Build, $47 for Scale and $55 for Unleash per user per month, checked on 19 October 2026. Those are the rates used below. Check both the currency and billing period before comparing a price from another listing.

The fine print that moves the number. Three terms matter more than the headline rate:

  • A 10-user minimum. The footnote reads “Minimum 10 users, billable in bands of 5”. A seven-person practice pays for ten, and a 27-person firm pays for 30.
  • A one-year commitment. Monthly billing still needs a minimum one-year commitment, with 10% off for paying annually.
  • Onboarding from $1,000. Standard onboarding “starts at $1,000, depending on requirements”. Consultative onboarding has no published price.

So the per-user rate is clear. What you’ll pay depends on your headcount and which plan your workflows really need.

What Projectworks Costs a 10, 25 and 50 Person Firm

Here is Projectworks pricing at three firm sizes, using the AUD rates above and billed monthly. Drum Complete is $225 AUD a month for your first five seats, then $45 per extra seat. All figures exclude GST, onboarding and any custom Enterprise requirements.

Firm size Projectworks Build ($39) Projectworks Scale ($47) Projectworks Unleash ($55) Drum Complete
10 staff $390/month $470/month $550/month $450/month
25 staff $975/month $1,175/month $1,375/month $1,125/month
50 staff $1,950/month $2,350/month $2,750/month $2,250/month

Our estimate from the AUD rates above, before the 10% annual discount and the one-off onboarding fee. Drum figures are from Drum’s published price list, October 2026.

If you need CRM, proposals and project delivery together, the Unleash column is the relevant starting point. For the headcounts shown, its monthly subscription is $100 more at 10 staff, $250 more at 25 and $500 more at 50 than Drum Complete. That is $6,000 a year at 50 staff before annual discounts and onboarding. Projectworks lists CRM and Proposals as beta features on Unleash.

Those figures compare subscriptions for that workflow, not identical feature sets. Projectworks includes SSO from Scale, while Drum lists SSO under its custom-priced Enterprise plan. If you need SSO, multi-currency, multi-entity or other advanced capabilities, get both vendors to confirm availability and quote your full requirements before comparing totals.

Projectworks Build is cheaper than Drum on licence alone, and that is worth weighing if time, resourcing and invoicing are all you need. Quotes start on Scale. The separate Proposals feature starts on Unleash, where it is listed as beta, so choose the tier that supports the work you need to do.

Where the minimum bites. Picture a 12-person architecture studio comparing CRM, proposals and project delivery. Projectworks bills 15 users, so Unleash is $825 a month. Drum Complete is $540 a month for 12 seats. That subscription gap of $285 a month, about $3,400 a year, comes from the higher per-user rate and three seats nobody sits in. Onboarding is quoted separately by both vendors, and any advanced requirements need their own comparison. (This is an illustration, not a quote.)

What the table can’t show. Projectworks scores well with its users: 4.7 out of 5 from 162 reviews on Capterra, with 4.6 for value for money. Reviewers praise having “everything together in one place” and a responsive support team. The complaints are smaller but real: “occasional bugs and unexpected behavior”, settings that “can be hard to find at first”, and a wish for more flexible reporting. Most of its reviewers are small IT and services firms, so ask for references from an architecture or engineering practice your size.

What to ask for in a Projectworks quote. Get these in writing:

  1. The AUD per-user rate for your plan, and how your headcount rounds to the next band of five.
  2. Whether you need Quotes on Scale or Proposals on Unleash, and whether beta features are covered by support.
  3. The onboarding fee for your setup, including data migration.
  4. The contract term, and what happens to the rate at renewal.
  5. Whether part-time staff and contractors need a full licence.

Ask Drum the same questions. A fair comparison uses the same list for every vendor.

Who Projectworks Suits, and When to Look Elsewhere

Projectworks suits firms focused on utilisation and margin. If your directors’ main question is “how busy are we and are we making money?”, and you don’t need proposals or a pipeline in the same system, Build is good value and well liked.

It suits multi-entity and multi-currency firms. Multi-currency starts on Scale, while multi-entity starts on Unleash. Drum is built for Australian firms first; ask it to confirm support and pricing for these requirements.

Look elsewhere when sales and delivery need to meet. If your work starts with an enquiry and a fee proposal, and you want the accepted proposal to become the project budget without re-keying, you’ll be paying for Unleash to get the pipeline as well. Drum includes the pipeline, fee proposals, projects, time, WIP and invoicing in one price. Our Projectworks alternative guide compares the two feature by feature.

If you’re pricing more than one vendor, our Total Synergy pricing and Abtrac pricing breakdowns use the same 10, 25 and 50 seat format, and the Drum pricing page shows every line of ours.

Is Projectworks Worth the Price?

Projectworks is a well-reviewed, transparent product, and its Build plan undercuts Drum on licence at the firm sizes shown above. The catches are a 10-user minimum, a one-year commitment and onboarding from $1,000. Quotes start on Scale; Proposals and CRM start on Unleash and are listed as beta.

If time, resourcing and margin reporting are your whole brief, it’s a strong choice. If proposals, pipeline and Xero invoicing need to live in one place, compare Unleash with Drum Complete, then check any advanced requirements separately. Include the 10-user minimum and bands of five in your sums. Whatever you choose, get every line of Projectworks pricing in writing first.

There is a 10-user minimum, extra users are billed in bands of five, and annual billing saves 10%. For 25 staff needing CRM, proposals and project delivery, Unleash is $1,375 a month and Drum Complete is $1,125, excluding GST and onboarding. Does Projectworks have a minimum number of users? Yes. Projectworks requires a minimum of 10 users, and users above that are billed in bands of five. Monthly billing also needs a one-year commitment. A 12-person firm therefore pays for 15 users.
